Guidance on scheduling automated lecture recordings and livestreams.

Please check the section linked here to see if the service is offered in your desired room.
You will always find the current list of available lecture halls listed there.

We need:

A consent form

Your declaration of consent for a recording (also applies to a livestream), which must be signed by everyone who will be on camera for your lecture. When using the records, please also indicate the period of time you would like the data to remain stored (1 to 4 semesters).
The written consent form linked here (PDF, 108 kB) should be filled out and sent by e-mail to opencast[@]

If you plan a livestream, it will be available to your students in the corresponding ILIAS course. It is not possible to set up or deactivate a livestream afterwards. Scheduling livestreams affects all dates of an event.
Note that there will always be a recording, even if you only want to have a livestream. You determine whether these recordings are later published and visible to students by processing them in ILIAS or not.

You will need:

1. Your planning data from KLIPS

Log in to KLIPS and export the data of the dates "Abhaltungstermine" of your lecture. Click on "Details" and in the following window on "Export".

and set the export parameters as follows:


Datei-Format: Download als XML; Zeichensatz: UTF-8

2. Your Opencast-object (series) in your ILIAS course.

Create an Opencast object in your ILIAS course.
Please choose a more unique name than just "Videos", "Recordings", etc. as the title.
This makes it much easier for us as administrators to find events later if you have questions about your data.

3. Creating the recordings

You can now create the recordings under the internet address Please log in with your university account to get access to the Opencast series you have created in ILIAS.

  • Select the desired XML planning file and corresponding Opencast series.
  • Under Metadata, enter the name of the presenter and the license.
  • Camera and presentation recording is enabled by default, you can additionally select a buffer before the recording finishes - no longer than 14 minutes.
  • If you select "Download Links", you can still deactivate them later in the ILIAS course.
  • If desired, select Livestreaming (please note the equipment of the lecture halls).
  • Start the process and give it a few minutes.

The parameters (date, location, etc.) are taken directly from the specified XML file, if they have been entered in KLIPS. The entry fields like 'lecture hall' etc. must always contain data!

4. The verification in ILIAS

If the script ran successfully, you should now see the scheduled recordings in your ILIAS course in the Opencast object. Note that the process may take a little time if there are many appointments during the semester. This also may require reloading the page.
Please note that automated recordings are NEVER published automatically for security reasons (lecture hall changes, students at the lectern before and after the lecture, etc.). You must first cut them and then trigger further processing so that students can see the recordings in ILIAS. This operation can be done in ILIAS (see p. 21f in: ILIAS handout on "Opencast").
